Automotive Maintenance Administrator

Are you organised and good with details? An established automotive and fleet services organisation in Auckland CBD needs an Automotive Maintenance Administrator. This is a hybrid role. You will support the admin work behind vehicle servicing, repairs and maintenance.
You join a team that works closely together. Your job is to keep maintenance processes in order by handling transactions, invoices, records and service requests. Information must be processed correctly and on time, so careful work really matters here.
The role suits people with a background in administration, data entry, customer service or the automotive field. You should be accurate, communicate reliably and manage important information well. Keep copies of documents that prove your past work, translated into English if needed.
Key Responsibilities
- Look after the paperwork for vehicle servicing, repairs, maintenance and tyre replacement
- Enter maintenance transactions correctly, update internal systems, then reconcile them and chase anything still open
- Review invoices and look into any errors or exceptions you find
- Watch workflow queues so every request moves forward within the required service timeframes
- Keep vehicle maintenance records and supporting documents accurate and up to date
- Talk with workshops, suppliers, customers and internal teams, and phone service providers to follow up requests and missing information
- Answer maintenance questions and help solve problems
- Help the Maintenance Controllers with their daily admin needs
- Juggle many requests at once while staying accurate, helping the team give efficient customer service and smooth maintenance operations
Requirements & Eligibility
- Demonstrated work history in administration, data entry or a comparable role, which you can back up with evidence of your past employment and duties
- Careful, accurate handling of records and transactions, with strong attention to detail
- Confident speaking skills and a professional manner on the phone, and able to communicate well with customers, suppliers and internal stakeholders
- Strong organisation, able to manage competing priorities and meet deadlines in a busy workplace
- Good computer skills and quick to learn new systems
- A reliable, positive attitude and a collaborative way of working in a team
- Automotive industry experience or real automotive knowledge is advantageous
- Past experience as a Service Advisor, Service Administrator or in a similar role is desirable
- Relevant overseas experience can be considered if it can be properly verified
- Must meet the applicable Australian employment and sponsorship requirements
